Discussion: AGD.Support will look into this issue. Users should expect two (2) emails. Sometimes the emails get caught in the User's spam folder. Suggested: add sender to the user's address book. See User Guide for more troubleshooting.
Workflow Tasks
Viewer 21@All: when we check off AFC it also creates an AFC and a GAFC setup/profile. Shouldn't we be able to just select AFC?

AGD.Support, verbally & Post-webinar : This is a bug in the practice environment, both AFC & GAFC workflows are triggered - user has created an assessment such that only one (1) workflow should be triggered. This issue is not present in the production environment. I will fix the bug so that it operates correctly, but for the time being:
· Ignore the tasks that were triggered incorrectly. If you were doing an AFC assessment, only do the six (6) AFC tasks, and none of the five (5) tasks labelled GAFC.
· Note the [Clear All] & [Clear Completed] buttons in the workflow pane. Use these to clear extraneous tasks.
Viewer 13@All: If the Program Manager or the Admin is the one to send the case to Coastline, how does that person trigger the workflow process on their computer?
AGD.Support, verbally : Any User who saves an MDS-HC assessment with the three (3) triggering data elements (RN signature is NOT blank, RN title is NOT Blank, and Screening type = (AFC or GAFC) will trigger the workflow and associated tasks. Note: it is assumed that any user who saves such an assessment has validated that all its data has been reviewed for accuracy by the assessing RN, who "signs" the assessment.)

AGD.Support, verbally & post-webinar: All assessment forms in SIMS are locked from editing seven (7) calendar days after creation. That is, they become read-only. This is a security feature to prevent late updates the assessment data, to correct an error or to update info for a consumer fact that has changes since the original assessment.
If you ever need to update assessment data 7 days or more after initial file creation, you should use the [Copy Assessment] feature of SAMS. For example, perhaps Coastline requests additional clinical information for an assessment question. From the Assessment List,
· Highlight the locked assessment
· Click [Copy Assessment]
· Identify the target (new) assessment type as MDS-HC
· Set the assessment's attributes to match the original: program, agency, provider, etc.
· Click [OK].
Result: the Assessment data from the original has been copied into a new form, with all its data values editable. This instance of the MDS now has started its own 7-day countdown, after which time it will be read-only.
Note that the Assessment Narrative should be updated, and also the Activity & Referral text should indicate which MDS-HC should be used by Coastline to determine eligibility.

AGD.Support, verbally & post-webinar: All of the data elements in the MDS-HC form are present in the CDS-2-RN and match exactly, enabling the [Copy Assessment] function. Note that a completed AGD determination results in the consumer having (at least) two assessments:
1. The MDS-HC assessment created by the provider, which kicks off a number of workflow tasks culminating in an Activity & Referral that notifies Coastline to begin its determination process. This MDS is read-only to Coastline.
2. A CDS-2-RN assessment created by Coastline. Coastline pulls the MDS data entered by the AGD provider into a new CDS-2-RN form, and records additional data about the consumer's AFC or GAFC eligibility, including the Coastline RN's determination and signatures, and an updated Assessment narrative. AGD security configuration ensures that this CDS-2-RN assessment is read-only to the provider, and after 7-days is itself read-only to Coastline.

AGD.Support, verbally & post-webinar: Other browsers may be used with SAMS at the discretion of the user. There is a minority of users in the broader SIMS community that use Chrome, Firefox, or Safari. Such users are for the most part successful in their use of SAMS. However, there are situations where users report an inability to perform some SAMS function on an alternate browser.
Note that only Microsoft Explorer is supported by Harmony ( if a user reports a malfunction, AGD.Support or Harmony will inquire whether the malfunction also occurs within a supported version of Microsoft Internet Explorer. Harmony will work to resolve such malfunctions under supported configurations only.

Recording data for AFC/GAFC Annual Assessments

Lisa Tri-Valley@All: Sorry I was late to join the call. You have stted that all non-ASAP providers will use the MDS-HC. In the beginning of this project, it was stated that ALL AFC/GAFC providers will now be using the MDS-HC for determinations by Coastline. Please clarify.

AGD.Support@all: currently: AGD process is for Initial Determinations. Provider creates MDS, Coastline pulls its data into a CDS-2-RN for determination. No providers create any CDS-2's.

AGD.Support@all: At present however, there are some ASAP AFC/GAFC providers who have been using CDS-2’s to record annual assessment data for their AFC/GAFC consumers. ELD has recently become aware of this practice, which skews certain statewide analytics. A statewide communication on this topic is forthcoming, but it is expected that the use of official CDS-2 versions for purpose of annual AFC/GAFC assessments will be restricted. Instead, ASAPs should use MDS or unofficial CDS-2 for AGD annuals.
