Help! Coastline cannot open my passworded assessment

Your initial determination request will be set to a WAITING status if you apply a password to an assessment. Your password would prevent Coastline from viewing the MDS.

Assessment passwords are unnecessary in the secure environment of SAMS, and will slow down the clinical review of your consumer.

Printing Coastline Determination Notice

The Notification is a scanned document that is visible in the consumer’s File Attachment section.

Navigate to the consumer’s File Attachment tab. Identify the desired attachment on the list of File Attachments.

[Right-click] on this document to display the sub-menu.

Select [View Attachment], not “open”.

Help! My Dashboards Are Blank

Coastline confirmed 2 consumers approved but not showing up anywhere on the dashboard.

Greetings:

This message is sent to all AGD Group-1 end-users. Please do not reply to this message.  If you have follow-up questions, please consult your organization's AGD Point-person.

All provider AGD end-users by now have received an email from Harmony Support that your production account has been updated. Please note: while your portal account has been updated (i.e. switched from field test to the production environment), it may not be fully ready for use until the afternoon of Wed April 1st.  Remember that your Harmony portal ID, password, and password reset security questions remain the same.

Your Account is *not* Ready to Use if

  • you can login to the Harmony Portal, and see an Application link for SAMS 3 (not SAMS 3 - Field Test)

  • You are prompted for an Application Login (a second userid & password).

  • See screenshot 1 below.

Writing a clear issue report to AGD Support

This write-up describes what to write & include in your email to AGD Support.

If you need help using SecureMail to view or send an encrypted email, see How to send a secure email to AGD Support.

1. Send it using SecureMail.

Login to the SecureMail portal:

https://ppsecuremail.state.ma.us/encrypt

. Make sure to send it to AGD.Support@massmail.state.ma.us (don't forget "massmail").

2. Subject Line: unique, specific, relevant 

Include your organization name or abbreviation in the Subject Line.

How to Register with the Mass Secure Email Portal

First, make sure that AGD Support team is aware that your organization needs to identify a new Point-person. If necessary, notify the AGD Support team that of a new AGD Point-person via email.

Once notified, AGD Support will send a secure email:  this is the invitation to register.


The prospective AGD Point-person will receive the email from AGD.Support@massmail.state.ma.us, with subject line "AGD Secure: Point-person registration" (or similar).

How to send a secure email to AGD Support

Note: These instructions work only for users whose email address is registered with SecureMail. See the instructions on how to register.


The SecureMail portal is similar in functionality to other web-based email systems such as hotmail or gmail.  A user opens a web browser, logs in and composes & sends a new message.  There is familiar attachment and CC: functionality. 

One difference:  this portal is closely associated to your email address.  The SecureMail portal does not maintain a Message List, Sent-Mail folder, or Trash folder of your previous messages.  Copies of your secure messages will be sent to your email address - you use these to gain access to your inbound and sent-mail that is sent securely by OLTSS/MassHealth staff.

Q: When should I use SecureMail to communicate with AGD Support?

A: Every time!

As an AGD Point-person, we expect that your emails to AGD Support contain Protected Information (e.g. names & other personal identifiers, PHI or PII).  Thus we take the universal precaution to require that all email communication uses secure encrypted email.

All messages to AGD Support, on any subject, must be sent securely using the process below.

We suggest you bookmark this URL.  Login is a 2-step process.

The first login screen is displayed. Enter the email address with which you are registered. Click [Sign In].

Role of AGD Point-person

The AGD Point-person is primary point-of-contact for all project communications between your organization and the ELD/ OLTSS Project Team. You are expected to disseminate information to your organization's end-users, and to seek clarification from the Project Team whenever necessary. Point-people are the designated voice of an organization; communicating with the AGD Project Team via standard protocols that maintain HIPAA-compliant information security, for all users in the organization. Organizations may wish to identify two (2) Point-people for continuity during vacations, or at other locations.

Group-1 Go Live Date is Wed April 1st, 2015

Hello AGD Group 1 Point People,

At our weekly webinar this morning, we reviewed the timeline for Group 1 AFC/GAFC providers to go live with the new AGD process. This means that as of the go live date, all AFC and GAFC submissions should be completed using the new AGD process.

One key task before go live, included on the table below, is for all AGD Point People to create secure email accounts for communicating with AGD Support.

Check the AGD website regularly for information and updates: http://agd-support.800ageinfo.com/. We will continue to hold our weekly webinars at the usual time, Tuesdays at 10 AM. Meeting connection information available on the website. 

Please use the time remaining before go live to make sure your users can access the system, and are well versed in the new process.
